Integrating Microsoft Teams and ERPNext to Enhance HR Operational efficiency
We worked on a project aimed at improving HR operations by integrating Microsoft Teams with a customized Frappe HR module and an ERP System. This effort focused on making HR processes more efficient, simplifying access to information, and updating how attendance and time are managed. These changes were designed to lessen the manual workload and aid in decision-making within HR departments.

Challenges & Requirements

Manual Processes
Significant reliance on manual handling of attendance data and payroll calculations, leading to inefficiencies and prone to errors.









Data Accessibility
Utilizing various disconnected tools for attendance, timesheets, and performance metrics hindered efficient data retrieval.









Timebank Management
A requirement for a custom system to manage employee attendance to cacluate time-bank balance.









Approval Workflows
A more efficient system was needed to handle requests for leave, remote attendance, and corrections to attendance records.
Actions
In Collabration with stakholders we decided and build a system integrating Microsoft Teams with ERPNext via a custom Frappe application module and PowerAutomate flow. the choice is primarily due to timebank calculation requirment and better user experience. The application is hosted on a Kubernetes cluster we manage, chosen for its cost-effectiveness.






Microsoft Teams Application
We developed an application within Microsoft Teams to allow easy access to time tracking, balance inquiries, and the submission of requests, taking advantage of the platform’s widespread use.






Custom Frappe Application
Developed Frappe application module to support unique project needs like managing attendance events and timebank system. This Integrat seamlessly with the ERPNext, for comprehensive payroll management.






Approval Workflow Automations
Using Power Automate, we set up automated workflows for approvals, increasing the speed and precision of the process within the Teams environment and making the most of timely notifications.






Staff Training
Conducted comprehensive training sessions to ensure smooth adoption and maximization of the new systems and workflows by the HR team.
